- Ensure that accounts payable liabilities are properly booked as per the respective purchase orders/contracts and in accordance with the approved authority matrix.- Ensure that all payments to suppliers for goods / services received are made in accordance with terms of payment as per the agreement/contract/order. Maintain records and supporting documents.- Process all request for payments/advances for staff as well as third parties in a timely manner.- Prepare journal vouchers for bank charges, request for payments, staff salaries and allowances.- Prepare currency forecast in advance based on IKBZ liabilities/commitments with the help of open contract / PO to enable treasury to ensure availability of sufficient balances in various bank accounts.- Create recurring invoices for all lease agreements according to the terms of payment mentioned on the contract/ agreements.- Attend to queries from suppliers and departments and prepare monthly reports.- Accrual of agent commission, claims, admin and other expenses.- Prepare entries for petty cash liquidation. Prepare vouchers for petty cash replenishments.- Liaise with internal and external auditor on all audit procedures concerning liability/payables.- Prepare daily/monthly/annual payable report, analysis and reconciliation.- Preparation of journal entries of all transactions involving liabilities/payable accounting and reconciliation of liability related Balance Sheet and P&L accounts.- Perform timely and accurately monthly, quarterly, and annual financial closing activity.
